This page explains what information OliOps (run by Eric Radle, "we") collects, why, who we share it with, and what you can do about it. Questions or requests: hello@oliops.com.
The short version: we collect what we need to work for you, we never sell it, and you can ask us to delete it.
What we collect
When you create an account
- Your name and email, and your sign-in details. Sign-in is handled by our sign-in provider. If you sign in with another account you already have, we receive your name and email from it.
- Optional business details you add in Account: business name, what you do, your goals, website and time zone.
When you use OliOps
- Your chat messages with us.
- Calls you book: the time, and any note you add.
- Your plan and billing status: your plan, dates, and payment status. Payments are handled by our payment processor. We never see or store your full card number.
- When you agree to our terms at checkout, a record of what you agreed to, when, the price, your IP address and your browser type. We keep this as proof of your agreement.
- What happens in your feed: for example which updates and Inbox items you've opened, so we know what you've seen.
- Basic technical logs (like errors and which emails and alerts were sent), to keep the service working.
Research about your business
- To do our work, and sometimes before we first contact a business, we research it using publicly available information (its website, listings, public reviews and similar). We may prepare a private page with what we found. We don't buy personal data or use private sources.
Why we use it
- To provide OliOps: your feed, chat, calls, builds and billing.
- To communicate with you: replies, call invites, updates, and receipts.
- To keep OliOps secure and working.
- To meet legal requirements, like keeping billing records.
We never sell your information, and we don't use it for advertising.
Who we share it with
Only service providers we need to run OliOps, and only what they need:
- Sign-in and payment providers;
- Scheduling, calendar, video-call, email, document and spreadsheet providers (call booking, calendar invites, video calls, our email, and the documents and spreadsheets we work in);
- Alerts to our team's phones, which may include your name and a short preview of a message;
- Hosting, database and file storage providers that run OliOps;
- AI providers we use to do the work. Our AI agents process the information needed to research, plan and build for you. Your accounting data and card files are never sent to them.
- An encrypted nightly backup of our database and files, kept for 14 days; only we hold the key to open it.
We may also share information if the law requires it, or to protect our rights or someone's safety.
Accounting software and card data
Some members connect their accounting software so we can post their monthly credit card entry for them. This section covers that connection and the card files you bring in.
What we read from your accounting software: your company name, your list of accounts and classes, whether your company tracks classes, the vendor your card payments go to, and the balance of your card payable account. To find your card payments, we look through your expense and check transactions from the last 120 days and keep only the payments to your card. We also read your journal entries' numbers (so ours never repeat one) and the entries in the months you work on (so we never post a month twice).
What we write to your accounting software: one journal entry per card month, which you preview and approve first, with your card file attached to it. If you replace a month, we remove the entry we posted before and post the new one. We never change or delete anything we didn't create.
Your card files: the files you bring in (for example your card statement and your team's workbook) are stored encrypted in our database, and are used only to prepare your entries.
Who can see it: you, and the OliOps team supporting you, who can view it read-only to help you. It's stored only with the service providers that run OliOps for us. We never sell it, never share it, never use it for advertising, and never send it to AI providers.
Disconnecting: you can disconnect your accounting software anytime in the card app. We cancel our access and delete the stored connection. Your months already brought in stay in your account until you ask us to delete them: email hello@oliops.com.
Your accounting software's own terms and privacy policy apply to your account with it.
Cookies
We use only the cookies we need: to keep you signed in, and a visitor ID that remembers what you've already seen. No advertising or tracking cookies.
How long we keep it
- Account and feed information: while you have an account, and for up to 12 months after it's closed, unless you ask us to delete it sooner.
- Billing records and the terms-agreement record: as long as the law requires us to keep them.
Your choices
- See or correct your information: most of it is in Account. For anything else, ask us.
- Delete your account and information: email hello@oliops.com. We'll delete it except what we must keep by law (like billing records).
- Emails: choose which emails you get in Account → Notifications. We always send billing and security emails.
Security
We use established providers, limit who can access information, and protect our own accounts with two-step sign-in. No system is perfectly secure, but we work to keep your information safe and will tell you promptly if something goes wrong that affects you.
Children
OliOps is for businesses and adults. It isn't meant for anyone under 18.
Changes
If we change this page in a way that matters, we'll tell you by email or in your feed before it applies.
